Every vendor will have to agree to the following terms to submit an application. Please read the following Terms of Agreement to make sure you understand the requirements for exhibiting at Lubbock-Con 2025 and to understand if applying for Lubbock-Con 2025 is a fit for your business. Exhibitors are responsible for reading and understanding what is required of them prior to the show.
Lubbock-Con 20205 Vendor/Exhibitor Application Terms of agreement.
I understand that this is only an application and does not guarantee exhibit space. By submitting this application I accept and agree to the terms of the Vendor/Exhibitor Agreement below. I understand that my application is subject to review before being accepted and that upon being accepted I must sign and provide a copy of the Vendor/Exhibitor Agreement below.
2025 Vendor/Exhibitor Agreement
This agreement is between Lubbock-Con Ventures (LC-V) and the applicant,(Vendor/Exhibitor/Artist). This document constitutes the entire agreement and no outside agreements or changes to this document can be made without written consent of both parties.
1. LC-V will provide Booth and Table Space as described on the application for Lubbock-Con.
2. Exhibitors may bring additional display items to promote their products or services within the space provided. For Booths, all display items must fit within the booth footprint (10'x10' or 10'x20') and cannot extend into other booths or walkways. For tables, all display items must be kept to their tabletop and the flat wall area directly behind their table. Artists will not block the walkways in front of or behind their table.
3. All Booths and/or Tables must be staffed at all times. Lubbock-Con and LC-V will not be held responsible for any issues arising from Booths or Tables left unattended during vendor and public access hours.
4. Exhibitors' Tables/Booths/Displays MUST remain intact throughout the duration of Lubbock-Con and MAY NOT be dismantled prior to the closing of Lubbock-Con's posted public hours. It is distracting to other dealers and gives the impression to attendees that the show is ending when vendors break down early. If you cannot stay until the end of the show, please DO NOT APPLY. Failure to follow this agreement, can result in future application denial.
5. Indemnity Clause: Vendors will comply with all local, state, and federal laws. It is the responsibility of all Vendors to ensure compliance with all local and state laws including but not limited to: tax laws and city ordinances. Your signature is an agreement that you will indemnify LC-V and its officers, employees, volunteers, associates, and affiliates from any liability for any breaches, losses, or damage to yourself or your property. All Vendors agree to hold blameless LC-V and all staff and volunteers against any loss, damage, theft, expenses, claims, or action arising from any personal or property damage, loss or theft due to said vendor's participation, or attendance at Lubbock-Con.
6. In addition, all Vendors acknowledge that LC-V and all staff, workers, agents, and volunteers will NOT provide or maintain insurance coverage for vendor's persons or property, and it is the Vendor's sole responsibility to obtain insurance.
7. LC-V in no way endorses any vendor merchandise, exhibits, views, beliefs, or actions. All vendors are deemed to be their own business/entity and in no way reflect the views, beliefs, intentions, and/or direction of LC-V or Lubbock-Con. Vendors do not represent LC-V or Lubbock-Con in any way.
8. All merchandise transactions at Lubbock-Con are strictly between vendor and attendees. LC-V is not party to or responsible in any way for any transactions made between said parties.
9. All adult materials must be either behind the table or, if displayed on a table or shelf, be bagged, covered, or tastefully displayed so that minors may not view, handle, or purchase the material. Tasteful display of all material will be at the discretion of Lubbock-Con staff. Any adult material containing graphic sexual content will NOT be displayed or sold. Any vendor not complying with these guidelines will be asked to leave the convention immediately. Please remember, the distribution of some materials to minors is a crime, and violators will be reported to the proper authorities.
10. No bootleg, Unlicensed, A.I. Generated Art, or Pirated merchandise including but not limited to DVD's, CD's, or VHS tapes. Anyone selling of unauthorized merchandise that infringes upon copyright or licensing agreements will be asked to leave the show immediately. This too is a crime, and violators will be reported to the proper authorities.
11. No live steel or weapons of any kind will be admitted to Lubbock-Con without prior written approval. This includes, but is not limited to, swords, knives, shields, and armor. Absolutely no firearms or ammunition of any kind.
12. NO BOOTHS WILL BE RESERVED UNLESS PAID IN FULL.
13. No consumable items can be sold without the consent of Lubbock-Con and the Lubbock Memorial Civic Center’s approval. If you are found to be selling any consumables without permission, the applicant will have to adhere to and pay any fees that are imposed by the Lubbock Memorial Civic Center with food vendors. These consumable items include but not limited to: bottled water, sodas, candy, popcorn, snacks, cookies, energy drinks, gum, cotton candy, freeze-dried goods, any pre-packaged goods, etc.
14. Should any Vendor find that they are unable to attend Lubbock-Con and have already paid for a Booth or Table, the refund policy is as follows:
100% refund (minus $15 application fee) if cancelled prior to November 1st, 2024.
50% refund if cancelled between November 2nd and December 31st, 2024.
Any cancellation after December 31st, 2024 will result in the forfeiture of any and all payments made to Lubbock-Con and LC-V.
15. Right of Refusal: In an effort to further the educational purposes of the organization, LC-V reserves the right to refuse any vendor or product deemed to conflict with the organization's specific purposes. The discretion to determine what, if any, vendor or product conflicts with these purposes lies solely with the Board of Directors. In the event a vendor or product is determined to conflict with these purposes, a full refund (less application fee) will be given.
